This is the single point of contact for all data protection matters.

TRIBE TINNITUS Sp. z o.o. has assessed its current processing activities and determined that appointment of a Data Protection Officer is not mandatory under Art. 37 GDPR. This assessment is reviewed periodically and may change as the scale or nature of processing evolves.

2. Scope of This Privacy Policy

This Policy applies to personal data processed in connection with:

  • - use of www.Hear.help and its subpages;
  • - use of the AI chat assistant;
  • - email communication with us;
  • - basic website analytics;
  • - language preferences stored in the user's browser;
  • - outbound links to specialists, clinics, research resources, products and external partner websites.

Hear.help is intended for users aged 18 and over. We do not knowingly process personal data of persons under 18.

Hear.help provides educational and informational navigation related to hearing health, tinnitus, available treatments, research, specialists, clinics and technologies. It does not provide medical advice, diagnosis or treatment.

3. Categories of Personal Data We Process

AI chat interaction data

  • content of questions submitted to and responses generated by the AI chat assistant;
  • information voluntarily provided by users about hearing problems, tinnitus, symptoms or other health-related matters.

Health-related information may constitute special-category personal data under the GDPR when it relates to an identified or identifiable person. Hear.help does not require users to provide their name or contact details in the AI chat. Users should avoid submitting names, identification numbers, medical records or other information that directly identifies them.

Communication data

  • email address and content of messages sent to contact@hear.help.

Technical and usage data

  • IP address, browser type, device type, operating system, pages visited and basic usage information;
  • language preference stored locally in the user's browser.

Hear.help does not currently process payments or store payment card information.

4. Purposes and Legal Bases of Processing (EU/EEA)

(a) Website operation

Providing access to Hear.help, maintaining website functionality, language preferences, security and technical operation.
Legal basis: Art. 6(1)(f) GDPR - legitimate interest in operating and securing the service.

(b) AI chat functionality

Processing user queries in order to provide informational responses about hearing health, tinnitus, treatments, research, specialists, clinics and technologies.
Legal basis: Art. 6(1)(f) GDPR - legitimate interest in providing and improving the informational service.

Information concerning a user's health may constitute special-category personal data under Art. 9 GDPR. Such information is processed only where permitted under applicable data protection law and only to the extent necessary to process the user's query and provide the requested informational response.

(c) Communication

Handling general enquiries submitted by email.
Legal basis: Art. 6(1)(f) GDPR - legitimate interest in responding to enquiries and maintaining business communication.

(d) Analytics and website optimisation

Understanding how visitors use Hear.help in order to improve the website and its functionality.
Legal basis: consent under Art. 6(1)(a) GDPR for analytics cookies.

(e) Legal obligations and claims

Compliance with applicable law and establishment, exercise or defence of legal claims.
Legal basis: Art. 6(1)(c) and Art. 6(1)(f) GDPR.

5. AI and Automated Processing

The AI chat assistant available on Hear.help is provided using Dante AI technology.

We do not use automated decision-making or profiling that produces legal effects or similarly significant effects within the meaning of Art. 22 GDPR.

AI-generated responses provide general information only and may be inaccurate, incomplete or outdated. They do not constitute medical advice, diagnosis or treatment. Always consult a qualified healthcare professional regarding your condition and treatment decisions.

AI chat interaction data is used to provide the requested response and maintain or improve the functionality of the service. Hear.help does not use chat conversations to train its own general-purpose AI model.

6. Cookies and Analytics

We use cookies and similar technologies for:

  • technical operation of the website;
  • storing cookie preferences;
  • traffic measurement using Google Analytics 4.

Essential technologies required for website operation may be used without consent. Analytics cookies are activated only after consent through the cookie banner.

We currently do not use advertising cookies, remarketing tags or behavioural advertising technologies.

7. External Links, Affiliate Links and Third Parties

Hear.help may provide links to external specialists, clinics, research resources, products, manufacturers and other third-party websites.

Some external links may be affiliate or referral links. If you follow such a link, Hear.help may receive a commission or referral benefit from the external provider. Purchases, bookings, payments and other transactions take place directly on the third-party website and are subject to that provider's own terms and privacy policy.

Hear.help does not receive or store payment card information from purchases made on external websites.

8. Data Recipients and International Transfers

Personal data may be processed by service providers necessary to operate Hear.help, including:

  • Dante AI - AI chat infrastructure;
  • Google Ireland Ltd. / Google LLC - Google Analytics 4;
  • website hosting and infrastructure providers;
  • email service providers - processing general email communication.

Where personal data is transferred outside the European Economic Area, appropriate safeguards required by applicable law are used, such as an adequacy decision, the EU-US Data Privacy Framework where applicable, or Standard Contractual Clauses adopted by the European Commission.

We may disclose personal data where required by law, court order or a competent public authority.

We do not sell personal data.

9. Data Retention

  • AI chat interaction data - up to 24 months from the date of the interaction;
  • general email enquiries - up to 24 months after the last contact, unless longer retention is necessary for legal claims or compliance;
  • analytics data - according to the retention settings of the applicable analytics service;
  • language preference stored in the browser - until changed or deleted by the user.

Data may be deleted earlier where it is no longer necessary for the purposes for which it was collected.

10. Your Rights (EU/EEA)

Under applicable data protection law, you may have the right to:

  • access your personal data;
  • correct inaccurate personal data;
  • request deletion of your personal data;
  • restrict processing;
  • receive data portability where applicable;
  • object to processing based on legitimate interest;
  • withdraw consent at any time where processing is based on consent.

11. Users Outside the EU/EEA

Hear.help is accessible internationally. Depending on where you live, local privacy laws may provide additional rights regarding access to, correction of, deletion of or other control over your personal data. You may submit privacy-related requests to contact@hear.help.

We apply appropriate technical and organisational measures designed to protect personal data against unauthorised access, loss, alteration or disclosure.

No method of electronic transmission or storage is completely secure. If a personal data breach creates a risk to the rights and freedoms of individuals, we will take the actions required under applicable data protection law.

13. User Responsibility

When using the AI chat, please do not submit:

  • personal data of other people without a lawful basis;
  • names, identification numbers or other information that is not necessary to answer your question;
  • medical records or documents containing directly identifying information;
  • confidential information belonging to third parties.

The email address contact@hear.help is intended for general enquiries and is not a medical consultation channel.

Users are responsible for the information they voluntarily submit through the AI chat or by email.

We may update this Privacy Policy to reflect changes in applicable law, technology or the services provided through Hear.help. The latest version is always available at www.Hear.help
